The opportunity
The Marketing Program Manager for events (Assistant Director) will drive different phases of event execution for our leaders and program managers, bringing external and/or internal event programs to life by understanding EY’s business and marketing strategies and transforming business priorities into world-class execution and delivery. Events across EY will create measurable impact globally and locally, integrate across sectors, and deliver sustainable results. Multi-channel events can include conferences, forums, client networking events, webinars, sponsorships, exhibitions, executive roundtables, and other experiential initiatives.
This role requires an experienced, energetic, and resilient team player with a good understanding of what it takes to deliver multi-channel event programs in a complex environment. Working closely in an agile team, the successful candidate will be required to understand the capabilities of the current GDS teams and manage onshore stakeholder expectations by building relationships and collaborating closely within the team and client-serving subject matter experts.
The Marketing Program Manager is expected to spearhead and oversee event operations, from planning to completion. From creating the timeline to managing the budget to working on different event channels like in-person, hybrid, and virtual experiences to consolidating and analyzing the event performance along with excellent stakeholder management skills.
Your key responsibilities
- Event Planning & Execution: Utilize project management skills and knowledge of event strategies, the EY business, and the audience to create and maintain project plans for events and global competitions that celebrate the positive impact of entrepreneurship and recognize the overall winners of our Entrepreneur Of The Year™ (EOY) programs. Support continuous event optimization by analyzing outcomes and gathering insights for future improvements.
- Project Management Support for Insights and Analysis: Work with stakeholders, including insights and social listening teams, to generate reports and validate data in line with the program's purpose and organizational goals. Monitor and analyze social media engagement for shortlisted entrepreneurs and their organizations, and collaborate with stakeholders to support data-driven decision-making and enhance engagement initiatives.
- Program Execution and Logistics Coordination: Prepare schedules to accommodate participant availability, ensuring efficient planning and clear communication. Collaborate with legal teams to update and maintain legal documents, ensuring compliance with regulations and adherence to EY branding standards. Enhance templates to meet stakeholder needs and improve the clarity and quality of deliverable submissions.
- Finalist Evaluation Management: Coordinate and manage the workstream focused on handling the confidential information of finalists, ensuring standardized documentation and validation with key stakeholders. Collaborate with various programs to finalize evaluation reports and prepare them for upload on a platform for judges' assessment, while leading the creation of schedules for interviews. Maintain confidentiality protocols and facilitate communication among stakeholders to ensure documentation meets high standards of quality and compliance.
- Data Management and Reporting: Ensure the accuracy and efficiency of data related to the EOY program and events, including validation and analysis of relevant sector information. Oversee the preparation and management of evaluation reports, collaborating with various teams to enhance processes.
- Directory and Database Management: Manage event databases and coordinate data collection with stakeholders, ensuring regulatory compliance and information accuracy. Provide guidance on data management and reporting, and collaborate with cross-functional teams to enhance resource platforms by updating content, design, and functionality based on user feedback.
- Ad Hoc Request Management/Execution: Assist the team with various administrative tasks related to events as needed.
To qualify for the role, you must have
- Graduate – Bachelor’s degree in business administration, public relations, marketing, event management, communications, or a related field preferred.
- Event management skills and knowledge, hands-on experience in delivering high-impact events, organization and prioritization skills, and attention to detail. Ability to quickly build knowledge of the EY business, particularly the key priorities, structure, internal and external audience, core offerings, and our clients’ issues and agendas across sectors and geographies globally.
- Manage multiple events under tight deadlines and maintain attention to detail.
- Outstanding written and oral communications, a generous aptitude to learn the organization’s pattern of communication, and our client’s motivation.
- 12-15 years of total B2B event management experience in professional services or similar industries.
- 10 years’ experience in end-to-end event planning and execution via multiple formats, from managing business requirements to implementation to analysis and all phases in between.
- Proven ability to manage complex processes and/or projects at a global level.
- High level of networking, team building, and stakeholder management skills.
- Strong analytical and critical thinking skills.
- Advanced knowledge in MS Office, including Excel (including developing pivot tables) PowerPoint, Power Apps and Sharepoint.
- Experience with event management tools such as Cvent, Marketo, Kaltura, On24, or similar platforms.
- Experience with digital event analytics including analyzing attendee engagement and event performance.
- Ability to drive an agile team; independent and showing flexibility during peak times.
- Team leader with a knack to motivate the team to deliver programs within a stipulated timeframe.
- Ability to bridge any gap between the Onshore expectations and the GDS capabilities.
- Develop and apply creative solutions to complex issues.
- Assert own ideas, gain support and commitment from executive-level stakeholders, and mobilize others to take action.
- Gather stakeholder feedback to generate meaningful, actionable information that helps drive change and event improvements.
Ideally, you’ll also have
- MBA with a major in Marketing or a MS (Marketing)
- In-depth knowledge and experience of running large, logistically complex Global events
- Knowledge of meeting industry software, CRM, including web registration & digital marketing applications
- Experience of working within a B2B brand
