The opportunity 


EY GDS has a pleasure to announce the opportunity to join a new role as Event Support working for French-speaking internal customers. The goal of the Administrative Event Support is to support our internal clients administratively on Events management. The objective would be to support our internal customer, managing administrative steps to finalize groups events (seminars/Restaurant/external meeting room/team building) respecting the Meeting&Event Policy and supporting our internal customer through Event policy & New technologies implemented.
 
Your key responsibilities 


Your tasks as Event support will consist in ensuring that necessary steps are followed by the requestors involved on organizing events by:
•    Supporting the requestor through the Event process on all his questions
•    Handling the approval of the event
•    Assigning the sourcing request to our event referenced agency and partners
•    Reviewing quote and risk aspect of the event and provide guidelines for review
•    Launch signature of quote/contract and stored signed document
•    Manage provider referencing & purchase order creation 
•    Adress deposit payment request to Finance team and follow up to ensure deposit is paid on time
•    Adress final invoice to Finance team after the event 
  
You will also interact & take actions on a regular basis with French Event process stakeholders by:
•    Being in contact on daily basis with internal French clients to clarify event request, get missing information and escalate sensitive situations
•    Being in contact on daily basis with other French stakeholders : Insurance & Risk management team, Finance team, Event team
•    Interacting on a daily basis with Global M&E procurement Manager in France to work on growing the event processes as per new rules, tool automation proposals, policy changes, partnership with M& E providers

 

Skills and attributes for success 


•    You are fluent in French language (C1 level) and a good level of English
•    Rigorous, autonomous and organized into the execution and pay attention to details
•    Customer oriented and strong communication skills to communicate effectively with various internal clients.
•    Reactivity and ability to manage urgent and/or complex requests in a professional manner
•    Agility on supporting different projects
•    You possess a good knowledge of MS Office package (Excel-PowerPoint and Outlook)
•    Knowledge or interest on Event industry will be an advantage

You should be able to independently complete your regular responsibilities according to deadlines, paying attention to details and remain effective in case of urgent queries. You should be willing to communicate with internal client in order to resolve daily challenges and show professionalism while day-to-day contact with EY clients.
