Location: Wrocław/Warsaw
Hybrid model: 2 days office/3 days remote

We are looking for Associate - General Administration, who will be responsible for performing the activities related to General Administration. As part of the team, you will coordinate with consistent, high-quality services to key stakeholders across verticals / business segments.
Your key responsibilities
- Experience in General Administration with strong organizational skills. You will be required to support the Stakeholder/PM on the following tasks:
- Perform activities such as expense report support coordinating with requestors in applicable tools
- Proactively contact vendors to obtain necessary documentation or to address invoice discrepancies.
- Maintain and update the status of requests in the work tracker, including adding detailed comments and follow-up actions.
- Perform workflow management, which includes shared mailbox management

- Draft and send approval emails and other critical communication as needed.
- Conduct audits and quality spot checks on expense requests submitted through the app.
- Liaise with the IT team to troubleshoot and resolve application errors, ensuring minimal disruption to team operations.
- Understand process and policy updates to team members effectively.
- Update and maintain process documentation, including Wiki pages, internal trackers, and communication templates.
- Experience in coordinating tasks between various Global teams.

To qualify for the role, you must have
- Overall - 0 to 4 years of experience
- Graduate – Bachelor’s degree – Commerce, Science, Arts
- Flexibility to adjust to multiple demands, shifting priorities, ambiguity, and rapid change
- Responsible for supporting PM with the day-to-day management and smooth operation of various projects.
- Contributes as an effective team member and takes accountability for deliverables
Ideally, you’ll also have
- Knowledge in Project Management concepts would be an added advantage.
