The opportunity
You’ll join our Enterprise Support Services (ESS) team, helping to support the important business enablement functions that keep our organization running strong. As a driven administrative professional, you will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY’s growth and profitability.
Your key responsibilities
As a Senior Associate in the Workplace Services Group (WSG), you will lead and oversee the execution of daily administrative responsibilities for the WSG team, along with managing facilities-related tasks. You have an excellent personal brand and work hard with your team to help develop and promote their own personal brand that align with our firm’s values. - Space Management: Work closely with the WSG leader to plan and implement office layouts and modifications. Oversee the utilization of space in Toronto office including temporary space usage.
- Reporting and Data Management: Oversee the EMS Reserve System and the implementation of any new booking systems. Review and analyze EMS Reserve reports and present valuable data to leadership
- Vendor and Expense management: Oversee orders for equipment and parts necessary for facility operations while collaborating with the procurement team as required. Monitor expenses and identifying opportunities for cost savings.
- Customer Service and communication: Ensure an excellent and effective customer service. Build trust and relationships across EY, with building management, as well as with our vendors. Communicate effectively, promptly and professionally to workplace services inquiries. Maintain effective communication with other WSG team members to keep all informed and updated.
- Promote process improvement & change management: Promote operational excellence by challenging current practices, encouraging and supporting innovative ideas and solutions to drive efficiencies, while at the same time implementing effective change management processes
- Project/Committee Work: Participate on national committees and project teams as needed.
- Staff guidance, performance & development: Meet team members on regular basis to discuss feedback and celebrate accomplishments. Responsible for the team’s performance management process utilizing EY PM tool. Provide clarity of the facility’s administrative practices, processes & procedures, share knowledge and encourage team members to do so.
- Tracking & reporting: Approve time off, ensure coverage during absences, manage overtime, track & report both absences and overtime.
- WSG and backup: Act as a backup to the Toronto WSG Supervisor. Contribute to the WSG by handling other WSG functions as they arise.

To qualify for the role, you must have
- Post-secondary education and/or relevant experience.
- Facilities experience.
- Proficiency in Word, Excel, PowerPoint, Teams and Outlook, with proven ability to learn customized software/tools.
Ideally, you’ll also have
- Supervisory experience
- Professional services firm experience
