The opportunity
We are looking for a dynamic person to join our Workplace Service Group (WSG) team helping to support the important business enablement functions that keep our organization running strong. As a driven administrative professional, you will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY’s growth and profitability.
Your key responsibilities
You are a resolute professional in facility services who takes pleasure in collaborating with team members. You strive to comprehend and predict client requirements with the aim of surpassing their expectations. Additionally, your primary duties will encompass:
- Preparation and Distribution: Oversee the end-to-end process of preparing and distributing 1Badge access cards to new staff members across multiple locations. Coordinate with HR and IT departments to ensure new hires receive their access cards promptly and accurately upon onboarding.
- Access Card Management: Maintain an up-to-date record of all issued access cards. Monitor and track replacement cards for staff, and ensure contractors have completed the necessary steps to obtain a contractor’s card.
- Audit and Compliance: Handle requests for replacement cards and ensure they are processed efficiently. Perform regular audit checks on card reports to ensure compliance and accuracy.
- Property Management Liaison: Coordinate with property management teams across various locations to manage and remove building access for departing staff. Ensure that access control policies are adhered to and updated as necessary.
- Managing Access Requirements: Oversee and manage access permissions to our spaces based on the level and role of our people. Regularly review access assignments for accuracy.
- Security Footage Review: Access and review security camera footage as required to support investigations and ensure the safety and security of our premises.
- Incident Response: Address security incidents and alarms, conducting investigations and documenting outcomes (EYWP). Addressing onsite security issues and escalating them as necessary
- Security Assessments: Regularly evaluate access to our floors to ensure security measures and access control are in place.
- Emergency Preparedness: Participate in drills and be fully aware of our evacuation and emergency procedures.
- Reporting: Ability to generate reports on access card usage, incidents, and compliance and various types of reporting as needed.
- Policy Development: Assist in creating security policies and procedures.

- Organizational Skills: Strong organizational skills to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Communication: Excellent verbal and written communication skills to liaise with internal teams and external property management.
- Problem-Solving: Ability to assess and address issues related to access card management promptly and efficiently.
- Secret Security Clearance: An asset.
To qualify for the role, you must have
- Post-secondary education and/or relevant experience
- Professional services firm experience
- Knowledge of security protocols and systems
- Strong attention to detail and accuracy in maintaining security records
- Ability of respond to security incidents promptly and effectively
- Excellent communication skills to coordinate with all staff
- This is an on-site person – Monday to Friday
