As the Reception Administrative Assistant, you will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY’s growth and profitability.
Responsibilities for this role include but are not limited to:
- Covering the reception/conference/meeting rooms area during business hours, hosting guests, and interacting with clients in a professional manner
- Ensuring that all incoming calls are answered and addressed in accordance with the Company's policy and procedures
- Keeping the Central Lobby and Conference Center areas in order in accordance with the Company’s policy
- Arranging conference calls and meetings as requested, coordinating conference room and facility booking
- Taking care of printing, copying, and binding of the documents
- Organizing a proper and timely distribution of the Company’s incoming/outgoing correspondence
- Maintain optimal office car/taxi provision for Company guests
- Organizing international travel arrangements and ensuring compliance with necessary procedures, while coordinating with travel agencies and providing support to employees regarding travel policies
- Ordering of consumables for the office (stationery, hygiene products and other necessary goods) and agreeing the necessary replenishment with the facility manager
- Monthly reporting to the facility manager on the office correspondence, taxi service
- Assisting the team in various administrative/secretarial tasks as requested
- Be able to coordinate administrative/secretarial tasks in online format as required
Skills and attributes for success:
- University graduate or final year student
- Previous experience in a similar role is an advantage
- Ability to work within strict deadlines and corporate procedures
- Good interpersonal and communication skills
- Fluent proficiency in written and spoken English and Georgian
- Computer literacy and familiar with office software applications
