The opportunity:
As Tax & Law SL Administrative Assistant, you will be part of the team that delivers quality services
to our clients and their stakeholders.
Your key responsibilities:
- Working with Microsoft Outlook: extensive use of Outlook and internal databases; checking mailbox for Partner on request; working with Partner’s and Managers’ organizer
- Continuously monitor and aim at improving administrative processes within Tax & Law SL
- Coaching new hires, ensure they get all general information regarding administrative issues
- Drafting engagement agreements/annexes/other legal documents; Providing Managers and in-house legal with new engagement agreements/annexes and archive them in database
- Monitoring valid dates for active engagement agreements/annexes and informing Managers regarding Agreement termination dates
- Preparing and sending monthly, quarterly, daily invoices, reminders, and additional financial documentations to the clients
- Expense reports processing: managing corporate expenses incurred by Partners and Managers
- Formatting the presentations/proposals/CVs
- Scheduling meetings (internal, external)
- Supporting managers with daily tasks
- Other duties as assigned
Backup function:
- Travel arrangements: ticket ordering; car arrangements; visa support; gift arrangements; registration of Partners and managers for the conferences, seminars, payment arrangements;
- Covering reception area in their absence
Skills and attributes for success:
- Willingness to grow and professionally develop with the international organization
- Proven organizational skills
- Ability to work within strict deadlines and corporate procedures
- Excellent interpersonal skills
- Excellent written and verbal communication in Georgian and English
- Good knowledge of office programs Word, Excel, PowerPoint
- Higher education
- Minimum 2 years of experience in a similar position
