Job Summary:

Talent Services (TS) is a core service line within the Global Delivery Services organization, providing multiple HR support services including Recruitment support, Onboarding support, People Data Administration, Learning Administration, Cross Border Travel, Global Mobility and Performance Management support to EY member firms. TS provides services to country, sub-area, area and global people teams and other EY stakeholders involved in HR, L&D and recruiting transactions and associated administration, reporting and people infrastructure. These services are delivered from our centres in Buenos Aires, Argentina; Kerala and Bangalore, India; Wroclaw, Poland; and Manila, Philippines. TS team delivers consistent, high-quality and operationally efficient HR transactional services to EY through a globally efficient and effective network of GDS centres.  

Virtual Talent Hub (VTH) for the respective function is an integral part of TS service offerings where the extended delivery model is used along with high-quality skills and competencies delivered virtually. This is across service lines and regions – delivering non-repetitive project-based work through skilled, agile teams. The team in the virtual hub is an extension of the regional talent teams and will cover operational/non-transnational scope.
Talent Operations VTH supports a specific Region and acts as part of the extended Region Talent team.
VTH works in a fully integrated way with onshore colleagues participating in meetings, projects and planning activities as part of one team. The Team supports the region in performing operational and administrative tasks to allow the onshore team to focus on consultative and strategic activities based on the priorities of the Region. 

The primary purpose of this role is to partner closely with the Executive Talent Acquisition and Partner Matters Talent Team to deliver seamless, high-quality support for the recruitment and onboarding of Direct Admit Partners. The role will assume responsibility for all administration related to Executive Talent Acquisition such as scheduling interviews, initiating due diligence checks, managing pre-start compliance and reporting ensuring a smooth experience aligned with the expectations of senior stakeholders.

The ideal candidate will have the ability to proactively manage workload and priorities with a high-level of attention to detail and must be comfortable working in agile environments. A professional attitude and integrity to deal with highly confidential and sensitive information, ensuring compliance with Data Privacy and Protection guidelines is critical for success in this role.

Essential Functions of the Job:

Key Responsibilities:

Administration
•    Manage calendar invitations, email communications, and formal letters. 
•    Maintain and update Excel-based tracking lists, such as candidate pipelines and DAP recruitment progress, ensuring accuracy and version control.
•    Draft confidential templated letters with precision.
•    Initiate checks, assessments and other processes as necessary ensuring timely completion and accurate processing.

Reporting and Data Analysis 
•    Generate Talent Acquisition and Partner reports using tools such as SuccessFactors, Avature, manual trackers, and invoice data.
•    Analyse data to identify key findings and trends.
•    Design and build data visualisation products, including PowerBI dashboards.
•    Validate data to ensure accuracy and integrity.
•    Deliver ad hoc reporting for Talent and senior stakeholders, including the Oceania Executive Management Team and Global Investment Management Committee.

Query Management
•    Respond accurately to queries using documented processes and procedures.
•    Identify and escalate queries appropriately to the relevant EY team member when outside scope.

Analytical & Technical Capability
•    Strong problem-solving skills and a solutions-focused mindset.
•    Advanced Excel skills, with experience using AI tools to enhance reporting and data visualisation.
•    Proficient in Microsoft Office Suite (Outlook, PowerPoint, Forms); experience with Power BI and Power Automate is highly desirable.
•    Familiarity with HRIS platforms (e.g., SAP, PeopleSoft, Avature) would be considered an advantage.

Organisational Awareness
•    Demonstrated understanding of complex organisational structures, systems, and processes.

Job Requirements:

Education:

•    Bachelor’s degree, preference will be given for those with HR specialisation
Experience:

•    Minimum of 7 years of progressive experience in HR or related field at a coordinator or administrative level.
•    Demonstrated data management experience with skills in collating data from multiple sources and leveraging automating to improve efficiencies 
•    Demonstrated experience in managing, monitoring and ensuring compliance with administration processes to deliver consistently high-quality outcomes 
•    Demonstrated experience working with different stakeholders with competing needs and ability to adjust communication to suit audience
•    Working in international and diverse environments
