The opportunity

EY GDS Creative Center of Excellence (CoE) is an inhouse agency that helps EY teams build a better working world by delivering high-impact, high-quality and on–brand creative solutions. People in the CoE help create experiences that are not just creatively inspiring, but also strategically precise and deeply human — across multiple media platforms.

 

As a Senior Associate — Workflow Coordinator, you act as the interface between the creative team and the customers/customer groups. You are the primary point of contact for creative resourcing and work scheduling and play a critical role in ensuring on-time delivery in a fast-paced, deadline-driven creative agency environment. With your sound knowledge of the creative production process, you can determine the workload capacity for a creative resource and justify the timing and resource allocations. You have a knack to identify roadblocks, competing priorities and bottlenecks — thereby ensuring on-time and on-budget delivery. You are focused on maximizing efficient scheduling/production and so work to optimize existing processes and procedures accordingly.

 

Your key responsibilities

  • Capture and analyze client requirements for creative projects, ensuring efficient task allocation based on team skillset and bandwidth
  • Maintain accurate records of resource estimates and assignments, updating internal systems regularly
  • Achieve and exceed expectations in terms of customer satisfaction, turnaround time, and team efficiency
  • Manage workload distribution to meet team utilization targets, proactively addressing any issues
  • Oversee billing and time tracking, generating reports as needed
  • Contribute to workflow optimization discussions to enhance delivery and cost-effectiveness
  • Stay up-to-date with firm-wide time tracking mechanism, and socialize/advocate the same to the teams/customers
  • Onboard new employees to operational standards and processes
  • Liaise with the third-party vendors for procuring images, background music and any other assets
  • Proactively identify project risks and communicate potential solutions

  • Exceptional communication and interpersonal abilities, capable of persuasive and clear interaction
  • Skilled in navigating fast-paced environments with positivity and efficiency
  • Proficient in negotiating and prioritizing multiple tasks under tight deadlines
  • Demonstrated ability to enhance resource efficiency and ensure production stability

 

To qualify for the role, you must have

  • A Bachelor’s degree or College diploma in a relevant field
  • A minimum of 5 years of experience in a dynamic, global setting, with direct, independent client interaction skills 
  • Flexibility to support Canada time zone (night shift) and adapt to shifting priorities

 

Ideally, you’ll also have

  • Experience leading a small team of project administrators or coordinators.

 

Technologies and Tools

  • Proficiency in Microsoft Project, Planner, Word, PowerPoint, Excel, and a working knowledge of MS Office suite.
