The opportunity
As a GDS Executive Assistant, you will provide remote support to senior executives in Canada. You will be part of the Canada EAG Team, a group of self‑motivated Executive Assistants who support our Partners and play a key role in our Core Business Services team. We help keep the organization running strong by delivering exceptional service and supporting EY’s growth and profitability, in line with its vision of building a better working world.
Your key responsibilities
Your primary role and responsibility is to deliver proactive support and administrative services, including, but not limited to:
Business support
• Calendar/Meeting Management - Manage and coordinate diaries and schedules with internal and external stakeholders on behalf of the executive
• Travel Management - Arrange the flight and hotel accommodations of the executive, and other logistical requirements (VISA, transfers, etc.)
• Expense Management - Track and submit expenses for reimbursement or payment requisition and adhering to monthly deadlines
• Meetings & events - Coordinate virtual and in-person meetings & small events (internal and external); liaise with designated teams for larger events; manage travel using our firm’s dedicated agents and travel tool; and independently manage multiple calendars
• Timesheet Management - Enter and submit the worked hours of the executive and adhering to weekly deadlines
• Engagement maintenance - Support the client engagement management process, including tracking and reporting time & expenses as needed; running reports; maintaining accurate client and contact data; and play a key role in the billing process
• Document management - Use firm brand standards to create and format letters, proposals, presentations, and reports using various Microsoft tools
Teaming
• Participate in meetings and learning events; engage in team initiatives and projects; and provide short-term backup support for your colleagues

You must have:
• Candidate must possess at least a Bachelor's/College Degree, any field (open to candidates with Vocational Degree or equivalent)
• Minimum of 2 years working experience specializing in Executive Assistance/Admin Assistant or equivalent is preferred but not required
• Proficient in MS Office (Outlook, Excel, Word, and PowerPoint)
• Above average English communication skills, both written and spoken
• Possesses working knowledge of a variety of web-based tools
• Ability to handle multiple executives, priorities, and deadlines
• Willing to work in McKinley Hill, Taguig
• Willing to work on the Night Shift
Technologies and Tools
Advanced Excel, PowerPoint and Word skills, Visio
Experience working with MS Teams, Visio, SharePoint, Tableau, Azure and Power BI will be an added advantage
