Project Coordinator
The opportunity
As our Project Coordinator you’ll support the PMO team by maintaining project documentation, coordinating updates, and ensuring administrative continuity across multiple office fit-out projects. A key focus of this role is to proactively leverage artificial intelligence (AI) tools and automation to streamline daily tasks, manage priorities, and enhance efficiency in project administration. The Project Coordinator is responsible for document and information governance, task and information distribution, report collation, and communication support for the Senior Project Managers, Project Managers, and the PMO. This position is critical in keeping workflows and documentation organized and visible across EY’s national and regional footprint from a Workplace Services (WPS) perspective.
This is a hybrid position based in Naarm – Melbourne / Boorloo – Perth / Canberra - Ngambri / Meanjin – Brisbane / Tarndanya – Adelaide / Warrang – Sydney . This role can be performed from any of our EY offices across Australia. Our roles can potentially be adjusted to work flexibly with reduced hours. Please speak with us about potential options.
Your key responsibilities
- Attend project meetings to take structured notes, capture action items, and provide feedback on behalf of project managers.
- Maintain and update the project planner, share dashboards weekly with the project lead, and utilize automation tools for efficiency.
- Organize incoming project documents in the correct folder structure, update active folders, and archive completed projects.
- Liaise with internal and external stakeholders for requests for information or design direction, and implement tools to track and coordinate communications.
Skills and attributes for success
- Strong organizational skills, attention to detail, and reliable completion of routine tasks while meeting deadlines.
- Excellent written and verbal communication skills, with confidence in following up and chasing documentation.
- Ability to work independently, take initiative with minimal supervision, and proactively identify issues in documentation or workflows.
- Familiarity with folder structures, project documentation practices, and a willingness to learn EY-specific systems and processes.
- Collaborative mindset focused on supporting the team, along with a commitment to exploring AI-driven solutions for routine tasks.

- Comfortable working independently and taking initiative with minimal supervision
