PMO Project Coordinator

 

The opportunity 

 

As our PMO Project Coordinator, you’ll support the Real Estate Services (RES) PMO team by coordinating operational readiness and project tasks, maintaining project documentation, coordinating updates, and ensuring administrative continuity across multiple office fit-out projects. A key focus of this role is to proactively leverage general workplace and construction program knowledge to assist the Senior Project Managers working across multiple EY Real Estate Projects. This position is critical in supporting successful project outcomes and operational readiness tasks across EY’s regional footprint from a Workplace Services (WPS) perspective. Please note the role is offered on a 18-month contract basis.

 

This role can be performed from any of our EY offices across Australia. Our roles can potentially be adjusted to work flexibly with reduced hours. Please speak with us about potential options. 

 

Your key responsibilities 

 

Meeting Support

  • Capture and document key discussions, action items, and RFIs from project meetings, ensuring timely follow-ups, stakeholder communication, and feedback on behalf of Project Managers

Project Coordination

  • Support project delivery and operational readiness, track milestones and key actions via dashboards, and maintain accurate document control including storage, version control, and archiving

Coordination & Continuity

  • Provide team coverage during leave periods and liaise with stakeholders to gather required information and documentation

Governance Support

  • Respond to project-wide information requests, manage and organize documentation and folder structures, and coordinate with governance teams to facilitate access to procurement and controlled documents

Cross-Project Visibility

  • Monitor project timelines to identify potential conflicts and ensure consistency in naming conventions and folder structures across projects

  • Highly organized with strong attention to detail, ensuring accuracy and quality in all tasks
  • Able to thrive in a fast-paced environment, managing multiple projects and shifting priorities
  • Excellent written and verbal communication skills, with confidence to follow up and chase deliverables
  • Proactive and self-driven, able to work independently and take initiative with minimal supervision
  • Strong stakeholder management skills, with confidence working across complex stakeholder groups
  • Reliable and collaborative team player with strong problem-solving skills and a solid understanding of project and operational processes
