Business Solutions Team Lead – Administrative Lead

Join our Enterprise Support Services (ESS) team and you will be an integral part of our business enablement functions that keeps our organization running strong. You will use your interpersonal and communication skills (verbal and written) to interface with employees at all levels.


The opportunity

The Business Solutions Team (BST) Lead assists the firm’s internal customers with functions such as compliance, finance and operations. In this role, you will support Partnership Operations and will operate and perform in accordance with established ESS parameters, handle issues, and identify and escalate risks to ensure objectives are met and implemented in alignment with key business needs and knowledge principles. You will also support project and/ program management, executing and deployment of projects, and/or programs, and/or events, as well as continuous improvement initiatives, measurement, tracking, reporting and analysis. You will communicate with customers to ensure deliverables are thorough and accurate. You effectively prioritize work and manage multiple priorities simultaneously to meet customer commitments and deadlines. You call on experience, skills and knowledge, and maintain a current understanding of organizational policies, procedures and practices. In this role, you will work independently with limited supervision and serve as a resource or coach to colleagues, promoting the sharing of knowledge within the firm.

 

Your key Responsibilities:

  • Produce high level deliverables to fulfill both structured and unstructured requests to support a community 
  • Handle sensitive financial records, including physical mail, certified mailings and secure document distribution with a high degree of judgement and discretion
  • Effectively use firm tools; follow policies and procedures to complete tasks and projects
  • Must meet or exceed the needs of our internal clients by partnering with other groups within the matrix organization, cultivating those relationships, aligning people and processes, and identifying operational efficiencies to add value.
  • Leverage strong working knowledge of applicable firm and service line quality, risk, and confidentiality policies and guidelines and reinforce with others  
  • Manage or coordinate small projects providing cost effective solutions
  • Effectively utilize internal/external resources such as EY firm tools, Amex Travel site, policy repositories, external Internet sites and internal SharePoint sites  
  • Compile and update information from designated sources 
  • Compile customized communications and reports for various customers using Word, Excel, and other firm-standard software
  • Conduct primary research as appropriate and synthesizes the information into a usable format for customers or colleagues. 
  • Provide reference and navigation assistance to customers to locate materials within the Intranet and directs customer requests to the appropriate resource. 
  • Assist with other tasks related to database entry, report generation and distribution and general requests from clients. 
  • Work on special project assignments as needed

  • Experience working with secure financial infrastructure and processes
  • Experience handling regulated or compliance-sensitive processes, with an understanding of auditability, documentation retention, and procedural adherence
  • Excellent use of grammar and punctuation 
  • Readily and proficiently share knowledge with colleagues 
  • Maintain and apply in-depth working knowledge and skillfully navigate firm and service line structures, matrixed relationships, key personnel, and organizational policies and procedures Demonstrate initiative and focus on customer service 
  • Advanced skill with firm’s core technology, expertise in EY-specific applications, aptitude for learning quickly with ability to seamlessly adapt to changing tools, processes and organizational structure 
  • Notary credentials are preferred but not required

 

To qualify for the role, you must have

  • Associates degree in related discipline, or equivalent work experience
  • 5 or more years of relevant business experience
  • Advanced experience with MS Office and the ability to learn new technologies
  • You must either reside in or be in a commutable distance to the EY Secaucus, NJ office for this position. This role will require in-person presence 60-100% of the time.
  • The ability and willingness to travel and work in excess of standard hours when necessary.

  • We offer a comprehensive compensation and benefits package where you’ll be rewarded based on your performance and recognized for the value you bring to the business.  The base salary range for this job in all geographic locations in the US is $52,800 to $95,900.  The base salary range for New York City Metro Area, Washington State and California (excluding Sacramento) is $63,400 to $109,000.  Individual salaries within those ranges are determined through a wide variety of factors including but not limited to education, experience, knowledge, skills and geography.  In addition, our Total Rewards package includes medical and dental coverage, pension and 401(k) plans, and a wide range of paid time off options.
  • Join us in our team-led and leader-enabled hybrid model. Our expectation is for most people in external, client serving roles to work together in person 40-60% of the time over the course of an engagement, project or year.
