The opportunity

As a Workplace Coordinator, you will support the Facility Manager in the day-to-day delivery of workplace and facilities operations. You will help maintain a safe, efficient and welcoming office environment by coordinating maintenance activities, supporting workplace projects and liaising with building management and external suppliers.

You will also contribute to EY’s Health, Safety and Environmental requirements and support workplace sustainability initiatives, including energy efficiency and waste reduction. In addition to workplace coordination responsibilities, this role will provide reception coverage and front-desk support as required.

Your key responsibilities

  • Coordinate day-to-day facilities maintenance and the upkeep of office amenities and equipment.
  • Liaise with building management, contractors and external suppliers regarding maintenance, office alterations and reconfiguration projects.
  • Coordinate workplace requirements, including furniture and workstation setups, network-point installations, vending services and equipment.
  • Respond to internal workplace and administrative requests, ensuring timely and effective resolution and support the maintenance and repair of office equipment and appliances.
  • Maintain accurate inventory records for office equipment, furniture, appliances, stationery and other supplies.
  • Ensure workplace supplies, equipment and furniture are maintained and stored safely.
  • Monitor stock and inventory levels to ensure essential items remain available.
  • Track orders, identify recurring issues and support cost-efficiency opportunities.
  • Coordinate vendor claims related to defective, missing or short-delivered items.
  • Obtain information relating to supplies, quotations and pricing.
  • Support internal and external events, on-site catering and volunteering initiatives.
  • Promote workplace safety and sustainability through awareness activities and adherence to HSE requirements.
  • Monitor contractor and vendor compliance with relevant workplace safety standards.
  • Provide reception coverage and front-desk support during periods of receptionist absence or vacancy.

To qualify for the role, you must have

  • Background in Facilities Management, Engineering, Civil Engineering, Office Management, or a related discipline.
  • Relevant experience in workplace services, facilities coordination, administration or a related area.
  • The ability to coordinate maintenance, inventory, supplier and workplace-support activities.
  • Good written and verbal communication skills.
  • The ability to work collaboratively and respond promptly to operational requests.
