The opportunity

The Traffic Coordinator works with many areas of the organization and serves as the access point for onsite and remote customers, evaluating project needs, recommending project solutions, estimating costs and schedules, communicating standards and approvals, and managing customer relationships and expectations. The traffic coordinator is responsible for and manages resource capacity by balancing and assigning work based on skill sets and availability.

Your key responsibilities

  • Develop and manage customer relationships and expectations. React appropriately to unexpected situations and communicate situations to leadership as necessary
  • Make resource assignments based on assessment of project requirements and by applying knowledge of staff skill sets. This may include the negotiation of deadlines with customers as well as re-prioritization of active projects to gain availability of appropriate resources
  • Review customer-submitted work requests for completeness of pertinent and accurate information. Initial follow up with originator for missing/incomplete information. Answer any customer queries
  • Assign work requests and coordinate day-to-day schedules of staff to meet utilization/productivity targets and minimize overtime. Alert leadership to any workload issues. Analyze, validate and route submissions of project deliverables to appropriate personnel
  • Advise clients of correct procedures, standard requirements and appropriate approvals
  • Maintain knowledge of tracking tools and submission documentation
  • Manage tasks and activities in a timely manner and be responsible for specific outcomes
  • Assist with special projects as needed
  • Assist in validating full compliance and appropriate documentation of time and materials, project instructions and client interactions
  • Train employees on tools, websites, file formats, Operating Guidelines + Quality Standards, and intake process
  • Perform quality review of documents and provide coaching to employee(s) on quality issues
  • Pursue and share leading practices within department and among staff to leverage leading practices. Provides input for future staffing/resource needs
  • Apply standards, policies, procedures, and functional knowledge with the expected level of supervision
  • Analyze project deliverables, assign required level of support, and/or determine appropriate approval routing
  • Plan and organize work within the job/project responsibilities
  • Balance workload among team members
  • Evaluate conflicting requirements of multiple customers and accurately assesses project requirements, identify issues, resolve and overcome obstacles/problems, make decisions and provide solutions
  • Make decisions independently using sound business judgment and acumen based on firm policies and procedures                                                          
  • Reports to supervisor on project status and shares knowledge of organization projects with team members
  • Travel or an extended workday is required as needed to meet deadlines

Skills and attributes for success

  • Demonstrate well-developed organizational and analytical skills with attention to detail and excellent follow-through
  • Possess excellent customer service skills, with the ability to communicate well in person, in writing, and on the telephone with all levels within the organization
  • Understand key requirements of the approval, scheduling, routing cycle and filing deadlines as well as related policies and procedures
  • Knowledge of EY’s business unit organization is essential
  • Understands and adheres to EY’s policies and procedures, review and approval processes and distribution and data management techniques
  • Maintain familiarity with EY’s quality and compliance approvals and processes
  • Maintain familiarity with EY’s campaign management and data management processes
  • Demonstrate proficiency with s standard software applications (i.e., Microsoft Office) and other basic applications
  • Interacts effectively and maintains a positive demeanor in a fast-paced environment, while demonstrating tact and diplomacy
  • Dependability, strong teaming skills and the ability to prioritize and meet deadlines in a fast-paced environment
  • Ability to successfully manage and coordinate projects simultaneously with multiple-level tasks, and to function independently while exercising sound judgment
  • Proficient skills in Microsoft Word, Excel, PowerPoint; Adobe InDesign experience a plus
  • Experience in print media
