The opportunity
The Executive Assistant will provide high-level administrative and secretarial support to Partners, Directors, and the wider team. The successful candidate will be able to work independently in a fast-paced environment, manage multiple priorities under tight deadlines, and handle confidential matters with discretion and professionalism.
Key Responsibilities
- Manage complex calendar scheduling, including coordinating meetings, appointments, and stakeholder availability for senior leadership
- Coordinate internal and external meetings, client interactions, and team engagements, ensuring seamless execution
- Arrange detailed travel plans, itineraries, and agendas, including preparation of supporting documentation for travel-related meetings
- Support opportunity and engagement setup and maintenance across internal systems
- Handle calls, correspondence, and general office coordination activities
- Manage invoicing processes, ensuring timely and accurate issuance of invoices, follow-up on payments, and proper financial documentation
- Process expenses and manage leave verification in line with internal policies
- Coordinate meeting room bookings and organize team meetings and events
- Ensure the smooth and efficient running of the department across all administrative matters
- Assist with Anti-Money Laundering (AML) compliance procedures and client onboarding processes, ensuring regulatory requirements are met
- Oversee workplace coordination, including space organization and resource allocation to support effective team operations
- Manage travel arrangements and expense processing in line with company policies
- Build and maintain strong working relationships with internal and external stakeholders

Requirements
- Bachelor’s degree in Business Administration, Management, Office Administration, Secretarial Studies, Communications, or a related field
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Strong written and verbal communication skills, with keen attention to detail
- Fluency in Greek and English
- Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant systems
- High level of professionalism, discretion, and confidentiality
- Ability to anticipate needs and proactively resolve issues
