Job Title Business Manager

 

Job Location - Mumbai, India

Key Responsibilities

  •  

    • Executive Support & Co-ordination
    • Executive Scheduling & Prioritization: Drive optimization of the CEO’s calendar by aligning appointments and engagements with strategic priorities, ensuring maximum impact and efficiency.
    • Global Travel & Logistics Oversight: Manage end-to-end business travel planning for the CEO, including flights, accommodations, visas, and itineraries, ensuring seamless execution and cost-effectiveness.
    • Cross-Regional & External Stakeholder Engagement: Orchestrate high-level meetings involving multiple regional teams and external partners, fostering collaboration and alignment on key business objectives.
    • Strategic Meeting Preparation & Follow-Through: Develop comprehensive agendas, briefing documents, and actionable insights for executive meetings, and ensure timely follow-up on decisions to maintain business momentum.

     

    • Support to head of APAC Sales:
    • Assist the Head of APAC Sales with scheduling and coordination of client meetings across the region.
    • Support the organisation of business development events, roadshows, workshops, and partner engagements.
    • Coordinate logistics for APAC commercial activities involving internal and external stakeholders.
    • Act as a point of contact for prospects or partners introduced by the CEO or the APAC Sales lead.

     

    • Administrative Coordination for India Team:
    • Support the day-to-day administrative operations for a team of about twenty people.
    • Manage documentation, approvals, internal workflows, and administrative requests.
    • Liaise with HR, Finance, Legal, Compliance, and IT teams in India, Paris, and APAC.
    • Facilitate onboarding of new joiners, workspace setup, and access management.

     

    • Office & Facilities Coordination:
    • Coordinate all workspace requirements within India premises (seating allocation, meeting rooms, badges, access).
    • Serve as the link between client and service provider facilities teams.
    • Handle office logistics for leased or hosted environments, including adjustments in team layout.

     

    • Communication & Relationship Management:
    • Act as the first point of contact for visitors, external partners, clients, and prospects.
    • Draft professional emails, letters, announcements, and presentations.
    • Maintain ongoing communication with teams in Paris and APAC to ensure alignment.
    • Ensure smooth circulation of information within the India team.

     

    • Meeting & Event Coordination:
    • Organise internal and external workshops, business reviews, steering committees, and project meetings.
    • Support logistics for visits from APAC or global leadership teams.
    • Coordinate off-site meetings, corporate events, and team gatherings.

 

Core skills

  • Bachelor’s degree preferred
  • 3–6 years of proven experience in executive or administrative support
  • Proven experience as a Business Manager, Office Manager, or Administrative Coordinator.
  • Strong organizational capability and ability to manage multiple priorities simultaneously.
  • Excellent written and spoken English.
  • High proficiency with Outlook, Word, PowerPoint, Excel.
  • Experience working with senior executives and external partners.
  • Comfortably operating in international and multicultural environments.
  • Professional, discreet, and trustworthy.
  • Proactive, resourceful, and solution oriented.
  • Strong interpersonal skills and customer-service mindset.
  • Detail-oriented, structured, and reliable.
  • Able to work autonomously while collaborating with diverse teams.

Good to have

  • Experience in financial services or technology organizations is an advantage
  • Spoken Hindi/Marathi is a plus.
