The opportunity
We are looking for a dynamic person to join our Workplace Service Group (WSG) team helping to support the important business enablement functions that keep our organization running strong. As a driven administrative professional, you will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY’s growth and profitability.
Your key responsibilities
You are a resolute professional in facility services who takes pleasure in collaborating with team members. You strive to comprehend and predict client requirements with the aim of surpassing their expectations. Additionally, your primary duties will encompass:
- Diligently track and manage the invoicing process for multiple vendors to ensure accuracy and timely payments.
- Strategically schedule and align professional photo shoots with external photographers and in-house teams.
- Proactively handle maintenance requests, collaborating with property management to ensure swift resolution.
- Assist with the delivery of excellent client support, along with the organization of meeting rooms
- Regularly monitor and replenish office supplies to maintain full stock levels.
- Uphold the highest standards of cleanliness and create an inviting atmosphere in meeting spaces.
- Vigilantly identify and report any inconsistencies in office furnishings to ESS leadership.
- Produce comprehensive reports for management to facilitate informed decision-making.
- Contribute to the workplace services team by adeptly handling administrative tasks, including mail services, print requests, and distribution.
- Assist the Catering team with the meticulous setup and breakdown of catering arrangements for meetings and events
- Offer flexible support for Reception duties, ensuring seamless front desk operations as required.

- This role involves interaction with clients operating nationally and globally where fluency in French and English is required. Bilingualism in both French and English is therefore a requirement of this role
To qualify for the role, you must have
- Post-secondary education and/or relevant experience
- Professional services firm experience
- Facilities experience
- Work schedule of from Monday to Friday, 10:00 am to 7:00 pm
