The opportunity
We are looking for a dynamic person to join our Workplace Service Group (WSG) team helping to support the important business enablement functions that keep our organization running strong. As a driven administrative professional, you will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY’s growth and profitability.
Your key responsibilities
You are a resolute professional in facility services who takes pleasure in collaborating with team members. You strive to comprehend and predict client requirements with the aim of surpassing their expectations. Additionally, your primary duties will encompass:

Data Analysis and Reporting: Drive informed decision-making by generating and analyzing reports for leadership, presenting data in an accessible and actionable format.

Policy Compliance: Ensure adherence to all booking policies and procedures, offering clear and concise explanations to enhance user understanding.

Workstation Management: Ensure new hires are equipped for success from day one by overseeing workstation bookings and resource allocation.

Proactive Issue Management: Vigilantly monitor workstation reservations, swiftly addressing any issues and enabling or disabling offices as needed.

Effortless Group Bookings: Work hand-in-hand with stakeholders to streamline group bookings over 9 days, securing all necessary approvals efficiently.

Onboarding Coordination: Collaborate with the onboarding team to reserve workstations for new hires and prepare for onboarding sessions

Comprehensive Training: Offer tailored training and ongoing support to users, elevating their experience and mastery of the EY Reserve system

Communication Excellence: Craft standardized emails for instant meetings, provide booking instructions, and issue gentle reminders to optimize collaboration space utilization. Maintain transparent communication with users about system updates, policies, and any potential workstation issues

Email Management: Oversee the reserve.montreal inbox, delivering prompt and professional responses to all inquiries, and guiding new hires through the booking process as needed.

Seamless Operations: Oversee the EY Reserve system at our Montreal office to guarantee flawless operations and maximize user satisfaction.

Event Space Management: Handle reservation requests for event spaces and meeting rooms on the 8th floor.

Event Coordination: Organize meetings with relevant teams (AV, EAs, etc.) for large events, ensuring all logistical needs are met.

Application and Safety Maintenance: Ensure the seamless operation of essential apps by keeping them up to date, while also maintaining and updating safety compliance standards to guarantee the highest levels of operational efficiency and safety adherence.

Professional Photo App Assistance: Support the management of the professional photo app, ensuring team members have access to quality images.

Shared Mailbox Management: Administer the EY.COM/FR shared mailbox to ensure effective communication and support.

This role involves interaction with clients operating nationally and globally where fluency in French and English is required. Bilingualism in both French and English is therefore a requirement of this role
To qualify for the role, you must have

This is an on-site position based in our Montreal office, with a work schedule of Monday to Friday, 8:00 AM to 5:00 PM.
