The opportunity


The Facilities Coordinator supports the Operations management team in the organization of all facilities and workplace services across multiple sites. The Facilities Coordinator implements, adapts, and enforces all processes and directives defined by management.

 

Your key responsibilities

 

  • Coordinate and supervise daily operations of the Facilities team and suppliers: maintenance, cleaning, moves, mail, reception, duplicating, etc.
  • Ensure the implementation and compliance of all procedures and standards set by the Operations services
  • Act as the main point of contact for all building users and service providers
  • Organize and monitor preventive and corrective maintenance: HVAC, electricity, plumbing, small works, legal control, security and safety actions, sustainability process, etc…
  • Manage and follow up on service providers and contractors (cleaning, security, technical maintenance, etc.)
  • Support the onboarding and training of new team members
  • Prepare operational reports and suggest improvements to the Operations services
  • Ensure compliance with safety, quality, and regulatory standards
  • Participate in the organization of office moves and building transitions
  • Manage inventories and supplies for facilities and office equipment
  • Support the Operations management team in budget monitoring and cost optimization
  • Act as a relay for communication between management and teams

 

Skills and attributes for success

 

  • Minimum 5 years’ experience in facility management, building operations, or similar environment
  • Fluent in English and French (written and spoken)
  • Technical knowledge: basic understanding of HVAC, electricity, plumbing, minor repairs
  • Strong organizational and communication skills
  • Ability to implement and follow management’s strategic decisions
  • Problem-solving attitude, autonomy, and adaptability
  • Team spirit and customer service orientation
  • Experience with multi-site operations is a plus
