Job Summary:

The Programme to build and deploy ExpenD (UKI version) sits within Finance team portfolio of projects, in Core Business Services UK&I region. This Programme will introduce a new way of seeking pre-approval of expenses to 20,000 people in UKI and be similar to the tool/process which already operates in UKFS.  Business Travel Account (BTA) and ExpenD will operate nationally, across all ranks once rolled out.

The Role:

As the Project Manager, you will

  • Report into the Programme Director, helping to coordinate 9 workstreams
  • Manage time, cost, quality, risk and project related tasks across the workstreams of the BTA and ExpenD projects, which make up the BTA/ExpenD Programme
  • Support programme lead in ensuring timely direction for the project teams
  • Support programme lead in ensuring project team remain focused on the actions & outcomes, and collaborate across workstreams
  • Create and manage key programme documentation: task tracker (Planner), budget (excel), risk register (excel), project plans (MS Planner, Excel, PPTX), RAID, RASCI, holiday tracker etc

 

Specific tasks will include:

Monitor & Manage

  • Monitor progress/risk/budget across the programme and into the detail of specific workstreams
  • Identify dependencies and assist workstream leads in working collaboratively/proactively with other initiatives, each other and the stakeholders
  • Ensure delivery of outputs in line with agreed time frames and keep both projects / programme documentation up to date at all times
  • Own project risk, escalating to Project Lead as required

 

Track & Update

  • Ensure that where tasks are being done by function they are also tracked and delivered
  • Track & own the project budget (incl. invoicing reconciliation)
  • Update RAID with meeting actions, notes and close out items when the work is done, plus keep a close eye on programme risks and issues alerting the Programme lead during regular catch-up calls

 

Create & Prepare

  • Review and provide constructive criticism on workstream outputs and ensure quality of deliverables
  • Prepare Key PowerPoint decks ahead of Management Committee, SteerCo and other key stakeholder meetings, from start to completion
  • Ensure you utilise what has been created, rather than reinventing the wheel
  • Follow defined protocols for naming conventions of documents, ways of working already established with the team

 

Coordinate & Collaborate

  • Coordinate meeting logistics (with assistance from executive assistant), ensure readiness for sign off before meetings are sent out. Review meeting notes before they are signed off for sending. Ensure Actions are logged on Planner and cross checked with RAID
  • General stakeholder management and manage flow of information in the project team (whilst encouraging workstreams to proactively collaborate)
  • Coordinate extended team relations, inc ensuring independence, contract administration completed when needed
  • Connect team members with other internal/external teams as required.

  • Eye for detail to ensure that the quality of outputs (formatting and content) is done professionally at all times.
  • Confident at taking minimal direction, and listening to the ask, and understanding the context before setting off on a task.
  • Is a completer finisher, with a “can do” approach

 

 

Experience and Qualifications

  • Experience of project management or programme management 
  • Recent evidence of running complex projects with multiple stakeholders, which is time bound and involves attention to detail and navigating ambiguity is essential
  • Technology deployment experience is an advantage
  • Experience of Change Management would be an advantage
  • Prince2, MSP, PMI, Agile, Six Sigma desirable, but not essential

For this role it is expected that you will be in the office 2-3 days per week minimum for the first 3 months as the programme activity intensifies
