You pick up the role of an enthusiastic and dedicated ‘Executive Assistant’ to provide partners and directors of your service line with a smooth and correct accomplishment of your secretary work
Your key responsibilities
- Manage the agendas of partners and directors by planning and organizing meetings and facilities (meeting rooms/catering);
- Coordinate business trips and event arrangements with internal travel and events departments;
- Support partners and directors in workload management and priority tracking;
- Sort, screen and prioritize incoming correspondence, drafting responses where appropriate and flagging key actions;
- Maintain and update the CRM system as needed (opportunities and contacts);
- Assist with Quality and Risk Management processes, including client/engagement acceptance, collecting and uploading anti-money laundering information in the AML database, drafting engagement agreements, and obtaining pre-approvals;
- Prepare and dispatch invoices;
- Oversee engagement maintenance, including closing engagements and updating roles;
- Efficiently manage the electronic filing database;
- Create and finalize documents using Word, PowerPoint and Excel;
- Attend meetings to take minutes, prepare reports, and gather necessary documents and agendas;
- Compile to-do lists and vacation overviews

Your profile
You have/are:
- a student in Office management/Languages.
- available for a minimum 3-month internship, preferably working 5 days per week.
- a good communicator and you are fluent in Dutch, French and English
- Very good knowledge of Microsoft Office;
- Strong organizational skills (able to successfully handle multiple tasks at the same time and to prioritize);
- Strong communication & interpersonal skills to perform successfully in a fast-paced and client-oriented environment.
- Professional, dedicated & hardworking; Proactive, able to take initiatives & flexible;
- Stress-resistant (able to work towards deadlines efficiently);
- Tech-savvy.
