Join our Core Business Services (CBS) team and you will help to support important business enablement functions that keep our organisation running strong. As a CBS professional, you will work
across teams to provide the coordination, operational discipline and stakeholder support that enable EY to deliver exceptional client service and operate effectively.
The opportunity
EY Malaysia is seeking an Executive Assistant to provide high-quality administrative and operational support to Partners and Directors, enabling them to operate effectively in a fast-paced and dynamic
environment.
This role operates at the centre of business activity, requiring strong judgement, professionalism, and discretion in handling sensitive information and managing competing priorities. You will play a
key role in ensuring seamless day-to-day operations while contributing to an efficient, collaborative and inclusive working environment.
Your key responsibilities
Executive & Business Support
- Provide proactive and seamless administrative support to Partners and Directors, including calendar management, meeting coordination, and travel planning
- Manage correspondence, communications, and documentation with a high level of professionalism and accuracy
- Anticipate needs and priorities, ensuring stakeholders are well-prepared and supported in their day-to-day activities
Operational Coordination & Administration
- Coordinate meetings, events, and logistical arrangements, including preparation of materials and follow-ups
- Manage departmental administrative processes such as expense claims, leave tracking, invoicing and document management
- Maintain accurate and organised records, ensuring accessibility and compliance with internal guidelines
Stakeholder Engagement & Service Delivery
- Act as a key point of contact for internal and external stakeholders, ensuring queries are managed in a timely and professional manner
- Build effective working relationships across teams to support coordination and delivery of business activities
- Collaborate with wider CBS and service line teams to ensure smooth operational support
Confidentiality, Governance & Risk Awareness
- Handle sensitive and confidential information with a high degree of integrity and discretion
- Ensure all administrative activities are executed in accordance with EY policies and procedures
- Support audit and documentation requirements by maintaining accurate and complete records
Continuous Improvement & Team Contribution
- Identify opportunities to enhance administrative processes, improve efficiency, and reduce turnaround time
- Contribute to a positive, inclusive and collaborative team environment
- Support ad hoc tasks and departmental initiatives as required

To qualify for the role, you must have
- A diploma or degree in Business Administration, Management, or a related field
- Relevant experience in executive or administrative support roles
- Strong proficiency in Microsoft Office tools (e.g., Outlook, Word, Excel, PowerPoint)
- Good command of written and spoken English
Ideally, you’ll also have
- Experience supporting senior stakeholders in a professional services or corporate environment
- Familiarity with financial or operational administrative processes (e.g., billing, expenses, reporting)
- Ability to operate in a fast-paced, matrixed environment
