Job Summary:
EY Global Delivery Services (GDS) consists of various service delivery centers from which Client Service and Enablement Services teams operate to deliver strategic support to EY member firms. GDS spans all geographies, practices, services lines, sectors and competencies within EY to deliver integrated services that result in efficient and world-class solutions. The position in discussion is with the Deal Management CoE in EY GDS MBA Function. The GDS Deal Management CoE serves as an extension to the onshore Deals team who are involved in the direct Bid Management Processes. The Deal Management CoE supports the onshore teams on a number of opportunities, adding more value during the Deal process or the bid management cycle.
The Sr Deal Coordinator (Supervising Associate) provides support in the different phases of the Deal process. This role will support the Deal Manager in all the stages of the Bid Management Process, involving in pre-RFP, RFP response and post-RFP phase. The range of activities include project management, research, review and analytical support for the onshore Deal team throughout the bid management cycle. This role will support in executing globally consistent strategy, methodologies and process as defined by the Global Markets Activation Team (MAT) Leadership
Essential functions: What are the main accountabilities of this position
- Strategic Deal and Opportunity Management
- Gather information through secondary research (both internal and external sources) and generate top-notch deliverables such as company profiles, competitor insights, trend analysis, and other valuable assets to support pre and proposal development phases.
- Prepare and drive project management plan throughout the deal cycle by acting as a point of contact in managing the end-to-end process including but not limited to organizing meetings, preparing meeting notes, finalizing timelines and accountabilities as per deadlines.
- Owns the preparation of kick-off documents, CV collation for team book, orals preparation and credentials pack. Support in the development of draft proposal sections based on deal requirement.
- Liaise with the broader team in development of client collaterals such as storyboards, placemats, proposals and internal presentations
- Establish and maintain clear and transparent communication and build strong stakeholders’ relationships by exhibiting professional etiquettes and adhering to agreed timelines and quality benchmarks
- Manage a repository of Regional, Market Segment or Service Line client-facing collateral as appropriate
- Exhibit innovative thinking and flexible approach while managing complex and out-of-scope requests
- Own and maintain repository of client presentations, RFQ responses, marketing collateral, etc.
Leadership/operations
- Interact effectively and maintain good rapport among a diverse group of team members, customers and colleagues.
- Interact directly with the clients to capture first level requirements on projects
- Effectively handle routine tasks including follow-up and respond appropriately to unexpected situations, communicating the concerns to Deals Enablement leadership as and when required
- Demonstrate best work practices within department and among other teams
- Monitor and review the standard electronic file management and archiving
Analytical/Decision Making Responsibilities:
- Critical thinking, organized, detail – oriented with strong analytical skills and the ability to meet tight deadlines
- Demonstrates excellent customer service skills including telephone, MS Teams and e-mail support
Knowledge and Skills Requirements:
- Prior experience in Deals/pre-sales/bid management and project management
- Excellent communications skills (verbal, written and listening)
- Good business acumen and understanding of business development, Deal/ project management and coordination skills
- Expert in computer skills like Microsoft suite and Internet-based research
- Experience with SharePoint is desirable
- Able to build collaborative relationships with a variety of stakeholders
- Supervision Responsibilities: which groups/ individuals does this position directly or indirectly oversee?
- This role will have supervisory responsibilities and direct reports
- Will be responsible for leading a region, stakeholder management and governance
- Act as a counselor for Deal Coordinators (Senior Associate and Associate Ranks)
- Quality review of deliverables
- Other Requirements: e.g. travel, overtime, time zone flexibility
- As the job involves responding to clients' needs and varying time zones, long/flexible hours are regularly required
- Moderate travel – for attending leadership meetings/trainings
Education:
- University/bachelor’s degree required
- Master’s in business administration
Experience:
- 6 Yrs to 11 Yrs
- Minimum 3 years’ experience working with large Global organization preferably in a professional services firm
- Proven ability to influence and build collaborative relationships with a wide range of stakeholders
- Excellent written and oral communication skills in English is essential as the role requires direct communication with international team members
- Well versed in using MS Office
Certification Requirements:
- APMP and or PMP Certification would be added advantage
