The Opportunity 

 

The Receptionist/Office Coordinator is a pivotal role at EY. As the primary point of contact, this individual offers guidance and information to staff, clients, guests, and suppliers. They should maintain professionalism, and patience as they interact with internal and external clients, in person or via electronic or telephone communication, while managing the multiple demands of the desk. The Receptionist/Office Administrator must excel at multitasking.

 

The key duties/responsibilities:

  • Greet Visitors: 
  • Welcome guests in a warm and friendly manner, and provide guidance to them as needed.
  • Maintain security by following procedures, monitoring logbook, and issuing visitor badges.
  • Manage Communication: 
  • Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Receive and sort daily mail/deliveries/couriers. 
  • Maintain Professional Environment: 
  • Ensure reception area is tidy and presentable, with all necessary stationery and material. 
  • Follow safety procedures and control office access via the reception desk.
  • Assist with Office Management: 
  • Assist in the ordering, receiving, stocking, and distribution of office supplies. 
  • Prepare and distribute taxi vouchers. 
  • Manage the reservation and usage of EY Meeting Rooms and offer support to visitors. 
  • Assist Workspace Services Coordinator: 
  • Manage bearer and office attendants’ duties
  • Organize air and ground transportations, and hotel accommodations.
  • Liaise with Property Supervisor regarding repairs and/or servicing of units to be undertaken.
  • Schedule preventative maintenance of office equipment.
  • Manage shared folders for queries, receipt of invoices and request for proposals.
  • Process suppliers’ invoices for payments.
  • Schedule and manage shipment processes.
  • Ensure that all occupational health and safety procedures are followed.

 

To qualify, candidates must have:

  • Minimum - High school diploma: additional certification in Office Management is a plus.
  • 2- 3 years’ experience as a receptionist, front office representative, or similar role. 
  • Proficiency in Microsoft Office Suite and other office management software. 
  • Experience with administrative and clerical procedures. 
  • Excellent verbal and written communication skills. 
  • Professional attitude and appearance. 
  • Ability to be resourceful and proactive when issues arise. 
  • Excellent organizational skills. 
  • Multitasking and time-management skills, with the ability to prioritize tasks. 
  • Customer service attitude. 

 

Work Environment:

The Receptionist/Office Coordinator will typically work at the front desk of the office. The job may require sitting for long periods and using a computer and phone system.
