The opportunity

 

We are looking for a candidate for the Facility and Administration Supervising Associate position within the Workplace Enablement Services (WES) team in the dynamically developing EY Global Delivery Services Poland office in Katowice. This is a hands-on role requiring a high level of independence at the initial stage, with the opportunity to help shape and coordinate the local WES team as it develops over time. This role offers the chance to broaden your experience in facility management and administration while working in a large, multi-country organization.

 

Your key responsibilities

 

You will be responsible for supervising and coordinating the day-to-day maintenance of the office space and associated equipment. In this role, you will also coordinate administration projects, processes, policies and procedures, while helping to maintain a safe and effective working environment.

 

As part of the WES team, you will be responsible for:

  • Supervising and coordinating day-to-day facility and administration operations in the Katowice office, including maintenance activities, priorities and deadlines, to ensure a safe and efficient working environment.
  • Organizing local workflows, coordinating delegated tasks and, as the team develops, supporting onboarding, feedback and day-to-day coordination of additional team members.
  • Managing facility and administration vendors and supporting projects in administration and facility areas.
  • Coordinating reception-related services and daily office support activities, where applicable.
  • Cooperating closely with internal departments and business stakeholders to support corporate meetings, visits, local events and other facility and administration projects.
  • Supporting selected administration processes related to the employee benefit car fleet, including payroll-related settlements and coordination of leasing vendor invoices.
  • Providing workplace-specific onboarding and instruction for new joiners and relevant office users, in line with internal procedures and local requirements.
  • Supporting the WES Team Manager by providing operational insights and updates to the business.

 

Skills and attributes for success

 

  • 5+ years of experience in facility and administration management.
  • Proven experience in a supervisory, coordination-focused or similar role.
  • Very good command of spoken and written English.
  • Experience in employee benefit car fleet administration, payroll-related settlements or leasing vendor invoice coordination will be an advantage.
  • Strong customer service mindset and ability to build effective working relationships with internal stakeholders and external vendors.
  • Good presentation, leadership, problem-solving, analytical and listening skills.
  • Superior interpersonal and communication skills.
  • Ability to set priorities and organize your own working time will be an important success factor in this role.
  • Innovative thinking and openness to change management opportunities.
  • A proactive, detail-oriented approach combined with a big-picture perspective and a creative mindset will be an advantage.
