Location: Katowice - 2 days office/3 days remote

We are looking for a detail-oriented and well-organized person to support the daily administrative management of our company vehicle fleet and related processes.
If you enjoy structured work, have strong administrative skills, and speak fluent French, this position may be a great fit for you. You will join a team based in France, responsible for the employee mobility program that manages company cars, subsidies for bicycle purchases, and public transport subscription.
Your key responsibilities
Vehicle & Insurance Administration:
- Tracking insurance certificates, vehicle attestations, and breakdown/claim cases
- Following up on missing steps, delays, documents, and bottlenecks
- Escalating issues to EY manager when needed
Management of Automotive Fines:
- Process incoming fine notifications (toll fees, foreign fines, traffic violations, late penalties, etc.)
- Tracking payments, deadlines, escalations, and employee follow-ups
- Forwarding paid fines to Finance for reimbursement
Automotive Manufacturer Recall Letters (if necessary):
- Processing recall notices and notifying affected drivers
Bicycle Subsidy Requests:
- Reviewing and validating employee requests (backup support)
Skills and attributes for success
- You are detail oriented and eager to analyse and solve complex process cases
- You have exceptional customer service skills, including responsiveness and commitment to quality is one of your strong sides
To qualify for the role, you must have
- You are fluent in French language (written and oral) – daily communication and document processing
- Very good administrative and organizational skills
- Basic Excel or tracking-tool skills (experience with fleet or ticketing systems is a plus)
Ideally, you’ll also have
- Strong attention to detail and accuracy (documents, deadlines, tracking)
- Ability to prioritize workload and deliver outputs within deadlines
- Strong communication and partnering skills
