Description of Role 

The key aspect of the coordination function is to provide clients with a single point of contact to address and project manage engagements and ongoing compliance across the Operate Business in South Africa, for multi-country clients in Africa. As a supervisor, you will be allocated a client portfolio and will be required to work with the managers across the EY footprint on client engagements and support them with the overall coordination of the various accounts. 

 

Key Responsibilities:

 The following will be your main responsibilities:

·       Coordination of Expatriate Tax, Immigration, and Payroll services for key accounts i.e. case management, tracking and reporting, billing etc.

·       Coordination of Tax and Accounting compliance services on engagements across the continent.

·       Maintenance and administrating of global EY technology tools (i.e. EY Interact and EY Mobility Pathways, GEAR and other trackers)

·       Building strong relationships with client and colleagues across the globe

·       Point of contact for key accounts 

·       Liaison between the EY offices and the client

·       Progress reporting and notes from meetings (i.e. preparation of authorization lists and compliance calendars at the commencement of the tax filing season including regular status reporting, client reports and other material, query trackers, billing spreadsheets and minutes)

·       Probing country teams and vendors to attain latest legislative changes and trends across Expatriate Tax, Immigration, and Payroll.

·       Work-in-progress (WIP) and debtor management 

·       Assisting with proposal processes and gathering of fees across the Africa sub area

·       Management of out-of-scope process across the various engagements

·       Identify scope creep early in the process and inform the respective team to source additional fees where possible

·       Attention to detail and able to work independently as well as in a team

·       Manage stakeholder expectations and adhere to deadlines and KPI’s including drafting of contracting for external providers, clients and interfirm agreements

·       Curiosity to learn and grow for the benefit of the coordination function as well as in their personal career

·       Risk processes on all accounts including loading of opportunities, PACE, linking to EYI workspaces and maintenance of the GEAR system, code creation and maintenance

·       Excellent time management skills and ability to multitask

·       Willingness to adapt to new challenges and eagerness to see tasks through

·       Ensure global consistency and assist in the streamlining of processes from local offices

·       Ability to attend to escalations in a timely manner to ensure exceptional client service

·       Vendor onboarding and ongoing management

·       Ability to attend to new client take-on and transition

·       Timeously attend to requests and manage internal and external stakeholders

·       Assist in creating and maintaining a database of handy information and processes for key locations including templates to streamline processes

·       Streamlining of processes through automation and standardization of communication for consistency

·       Project management of special projects and global compliance obligations in terms of Tax, Immigration and Payroll

·       Making recommendations to compliance teams on processes for efficiency

·       Interrogation of current processes and introduction of more efficient processes being used by global teams

·       Staying relevant in terms of new technology roll out and other global processes and market trends

·       Provide assistance with Mobility Transformation projects and mobility policy projects

·       Support with revenue planning

·       Excellent communication skills (verbal and written)  

·       Be able to demonstrate proficient reporting skills

·       Have strong ability to multi-task – must be able to handle multiple requests from various people whilst keeping them updated

·       Be able to work under pressure 

·       Flexibility to adapt to better ways of working

To qualify for the role, you must have:

·       Relevant degree/diploma or advanced work experience

·       Strong administrative skills

·       Consular services experience with a proven track record

·       Knowledge/understanding of individual tax compliance and our payroll offering is a bonus

·       Excellent time management skills and ability to multitask

·       Willingness to adapt to new challenges and eagerness to see tasks through

·       Ensure global consistency and assist in the streamlining of processes from local offices 

·       Ability to attend to escalations in a timely manner to ensure exceptional client service

·       Advanced experience in Microsoft applications such as Excel, Word, PowerPoint etc.

·       Proficient in business writing skills and ability to converse with individuals at all levels withing an organization

·       Strong work ethic with the ability to deal with highly confidential information

·       Maturity and experience in the independent running of the portfolio of coordination engagements

·       Strong project management skills with the ability to manage various tasks simultaneously whilst keeping stakeholders informed

·       Consistent and high quality of deliverables and ensures that all work produced by the teams are of high quality

·       Strong leadership skills and ability to delegate tasks effectively

·       Confident in self and abilities with the ability to lead a team

·       Problem solving mindset

·       Confidence and conviction in interacting with internal and external clients

·       Well organised systematic worker with great attention to detail
