GDS EY-P – Senior – (Executive Assistant)

About the Role

We are seeking a highly skilled and proactive Executive Assistant (EA) to support senior leadership within GDS EY-P. This role requires exceptional organizational capabilities, strong judgment, and the ability to manage complex schedules and priorities. As a critical member of the support team, you will be responsible for enabling our leaders to focus on strategic and value-added activities by efficiently managing their day-to-day administrative needs.

This role also requires close collaboration with other Executive Assistants, maintaining the highest levels of professionalism, confidentiality, and teamwork. Responsibilities may evolve as the business grows.

 

Key Responsibilities

Calendar & Scheduling Management

  • Proactively manage complex calendars with a strong understanding of business priorities.
  • Coordinate internal and external meetings across multiple time zones and locations.
  • Anticipate conflicts, suggest alternatives, and ensure efficient use of senior stakeholders' time.

 

Meeting Coordination

  • Schedule meetings requiring participation from cross-functional and global teams.
  • Follow up on key communications and independently plan next steps related to scheduling.
  • Arrange virtual, in-person, and hybrid meeting logistics.

 

Timesheet & Compliance Management

  • Ensure accurate and timely timesheet completion in line with compliance, planning, and financial requirements.

 

Travel Management

  • Plan and coordinate domestic and international travel, including flights, hotels, ground transport, visas, and documentation.
  • Anticipate travel-related needs and deliver seamless end-to-end arrangements.

 

Expense & Reimbursement Management

  • Process expenses in accordance with internal policies.
  • Maintain thorough documentation and ensure timely submissions.

 

Meeting & Event Support

  • Assist in the planning and flawless execution of leadership and client-facing meetings and events.
  • Manage logistics, materials, coordination, and follow-ups.

 

Vendor & Visitor Management

  • Build and maintain effective relationships with vendors to ensure timely and cost-effective services.
  • Coordinate office visits for senior leadership, managing schedules, logistics, and end-to-end planning.

 

Operational Support

  • Provide additional operations-related tasks assigned periodically.
  • Maintain strict confidentiality and adherence to EY's compliance standards.

Skills & Qualifications

Required

  • Bachelor’s degree (strongly preferred).
  • 5–8 years of experience supporting senior executives in a fast-paced environment.
  • Strong proficiency in Microsoft Outlook, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Ability to manage competing priorities and deliver high-quality work under pressure.
  • Ability to work independently and as part of a collaborative team.
