Your key responsibilities

  • You will proactively support a number of senior Partners, with respect to their administrative tasks and processes that may be varied
  • You will be setting up complex meetings and manage Partner’s agendas, make travel arrangements, and draft letters and e-mails in French and/or English.
  • You will be responsible in creating reports and presentations, manage invoices, physical mail and office internal communications
  • You will be responsible for correspondence, presentations, reports, invoices, and other relevant documents in collaboration with the centralized teams
  • You will organize events and actively participate in supplier management (selection, coordination, budget)
  • You will take part to events and travel occasionally supporting with logistics, managing scheduling, resolving challenges
  • You will coordinate and support tasks in relation to client facing activities such as organizing client events as well as internal activities related to team, trainings, social activities, etc.
  • You will be responsible in maintaining several internal databases, process expense reports and similar tasks
  • You will act as an interface, internally between different departments and externally with customers

 

Skills and attributes for success 

  • You hold a diploma in administration management, a higher professional diploma is an asset
  • You have 3-5 years’ experience as Executive Assistant or in a similar position in a fast-growing or international environment ideally.
  • French native speaker with a proficiency in English both in writing and speaking. German will be considered as a plus.
  • You have a broad knowledge of Microsoft Office programs, numerical insights, and analytical skills
  • You have the ability to work effectively in a fast-paced, multi-tasking environment
  • You are detail oriented and take ownership for the delivery of high-quality work
  • You are confident about adapting and embracing new technology and tools
  • You are open minded, flexible, and solution-oriented professional who appreciates working in a team and likes to explore and implement new ideas
  • You are a team player with good communication and interpersonal skills
  • You have a high level of stress tolerance
