In general, you will ensure the availability and correct qualitative execution of the requested

facility services. Operational follow-up of the assigned services within the Facilities Department.

You will be in contact with

•  All employees of the Belgian offices
• The internal prevention advisor with regards to regulations Safety@Work
• Landlords, property managers of the different offices
• Suppliers and contractors

Your Key Responsibilities

• Providing excellent “end-to-end service” to our internal customers.
• Responsible for the correct operational follow-up of ongoing contracts (SPOC for internal customers and the operational managers of various suppliers, follow-up of proactive/corrective actions, etc.) in the domain of catering, cleaning, reception, waste, office supplies, etc., for all offices in Belgium.
• Ensuring internal communication to the EY population in case of service changes.
• The Facility Coordinator will work from the Diegem office but will also provide facility support weekly in the Ghent and Antwerp offices. This support may include, in addition to regular tasks, setting up meeting rooms, installing mobile AV, hanging posters, coordinating marketing actions (e.g., year-end gifts), coordinating technical interventions, etc.
• Monitoring the agreed quality, SLA/evaluations of suppliers.
• Responsible for the “small contracts” (coffee machines, water fountains, plants, etc.).
• Building and maintaining relationships with suppliers by acting as a contact person for

operational matters.

• Developing Facilities projects within a predefined project structure (market study,

benchmarking, analysis of EY needs, project proposal, internal/external briefings, follow-up, aftercare of projects, etc.).

• Coordinating facility purchases (conducting market research to obtain the best price/quality).
• Reporting unsafe situations to the hierarchical line.
• Being prepared to provide assistance outside office hours: urgent calls/interventions/projects.

Your Profile

You have:

• a bachelor’s degree
• affinity for Facilities/logistic support
• good knowledge of MS Office
• Very good knowledge of Dutch and French (speaking, reading, understanding, writing) and good knowledge of English
• Accurate, Assertiveness, Autonomy, Flexible, Initiative-taking, Customer-oriented (Hospitality), Time management and Team player
• Drivers’s license B
