Recruiting & Onboarding Specialist

The Opportunity

  • Support the candidate’s experience from offer acceptance through onboarding, ensuring a seamless and engaging transition for new hires
  • Serve as a primary point of contact for candidates, providing guidance, resolving questions, and ensuring readiness for first day
  • Collaborate with recruiting, onboarding, and business stakeholders to drive operational excellence, efficiency, and consistency across preboarding processes
  • Gain exposure to a broad range of recruiting and onboarding operations, supporting both experienced hire and early careers onboarding programs
  • Act as a subject matter expert on recruiting operations, addressing questions on policy, process, and technology

 

Your Key Responsibilities

Preboarding Operations & Stakeholder Management

  • Track candidate progress through preboarding milestones, ensuring accuracy, compliance, and timely completion
  • Ensure candidates are moving through recruiting and onboarding systems as designed
  • Manage onboarding logistics, including start dates, changes, and exception handling in collaboration with stakeholders
  • Maintain accurate reporting and tracking to support operational visibility
  • Manage inquiries through shared mailboxes and provide team back-up support as needed

Compliance & Candidate Readiness

  • Ensure completion of required preboarding and compliance items, including background investigations, required onboarding documentation, and system requirements
  • Support additional validation processes as applicable (e.g., compliance requirements, documentation follow-up, onboarding coordination, etc.)
  • Deliver key communications to support the preboarding and first week process to ensure candidate readiness
  • Provide support for first day readiness and workplace essentials (e.g., technology access, required tools and systems, access provisioning, etc.)

Program Support

  • Collaborate with stakeholders to support onboarding programs, orientation logistics, and candidate communications
  • Support program-specific processes and logistics, which may include supporting facilitators, invite coordination and/or roster management  
  • Ensure new hires are aligned to appropriate business key contacts

To qualify for the role, you must have

  • Experience in recruiting, onboarding, or related operations (6 months – 2 years’ experience preferred)
  • Bachelor's degree (completed or in progress), or equivalent relevant experience
  • Strong proficiency in English, with the ability to perform work and communicate effectively in a professional environment
  • Microsoft Suite – Outlook, Excel, Word, PowerPoint, etc.
