People Operations Associate
As a People Operations Associate at EY, you will play a key role in supporting the employee lifecycle, ensuring accurate employee data management, compliance with internal policies, and seamless execution of HR operational processes. You will work closely with internal stakeholders to maintain employee records, support audits, manage documentation, and contribute to an exceptional employee experience.
Key Responsibilities
- Support the administration of the employee lifecycle, ensuring accurate documentation and employee records management.
- Process and update employment changes including contract amendments, working schedules, flexible work arrangements, and remote work agreements.
- Manage department transfers and updates to employee personal information such as tax identification, address, education, and dependents.
- Review and monitor approval workflows within SuccessFactors.
- Administer employment certificates and employee-related documentation.
- Manage HR vendors, including invoice control, documentation review, and contract administration activities.
- Track and administer employee leave processes, including medical leave, maternity leave, unpaid leave, and other absence types.
- Follow up on workplace accidents and coordinate processes with insurance providers and external entities.
- Administer employee reimbursements related to sports activities and salary advance requests.
- Prepare and manage certificates of employment and other required employee documentation.
- Administer and coordinate employee healthcare coverage processes and updates.
- Act as onboarding host, supporting new joiners throughout their onboarding experience.
- Audit and validate documentation submitted during employee onboarding processes.
- Support personnel file management, including document collection and maintenance of employee records.
- Manage employee registrations in internal systems and government platforms, including ARCA and other official registries.
- Process employee terminations and retirement-related activities in internal systems and external platforms.
- Maintain up-to-date employee information in SuccessFactors and other HR systems.
- Participate in monthly audits and controls to ensure data accuracy and compliance.
- Support continuous improvement initiatives related to HR operations processes and procedures.
Qualifications and Experience
- Between 6 months and 2+ years of experience in HR Operations, Employee Administration, Personnel Administration, or similar areas.
- Students or graduates in Human Resources, Business Administration, Entrepreneurship, or related fields.
- Experience working with employee data and HR administrative processes.
- Previous experience with SuccessFactors is highly preferred.
- English proficiency at an intermediate to advanced level (B2-C1).
Technical Skills
- Knowledge of employee lifecycle and HR administration processes.
- Experience working with HRIS platforms; SuccessFactors experience is a strong plus.
- Advanced user of Microsoft Excel.
- Knowledge of Power BI for reporting and data analysis is desirable.
- Strong analytical skills and attention to detail.
- Ability to handle confidential information with a high degree of accuracy and professionalism.
