Executive Recruiting Coordinator - Associate

The opportunity
The Executive Recruiting Coordinator provides operational and customer-service support for the Executive Recruiting team, with a focus on Executive hiring. The role partners closely with Executive Recruiters to coordinate candidate activity, maintain accurate recruiting records, support interview and pre-hire processes, and deliver timely updates throughout the recruiting lifecycle. This position is part of the BA delivery team and works within established procedures, quality controls and escalation guidelines.
Your key responsibilities
•    Provide day-to-day coordination and administrative support across the executive recruiting lifecycle, from initial candidate processing through onboarding and post-hire activities.
•    Use Avature and other recruiting systems to move candidates through defined workflow steps, maintain accurate candidate and project records, update required forms, and support reporting.
•    Coordinate executive interview logistics, including outreach for availability, calendar invitations, candidate communications, interview details, evaluation requests and timely follow-up.
•    Support required pre-hire and compliance processes, including Independence, rehire research, GCO and retirement memo requests, background investigation initiation and monitoring, and routing of documents for review.
•    Prepare and maintain candidate materials, including draft candidate packs, executive approval information, hiring details and other recruiting documentation, using established templates and checklists.
•    Support executive offer-letter preparation and related system administration, including peer quality review and recruiter approval before candidate release.
•    Coordinate onboarding and preboarding activities, including SuccessFactors entry, onboarding portal submissions, start-date notifications, technology requests and monitoring completion of required onboarding steps.
•    Process approved recruiting invoices and maintain related cost-tracking information.
•    Support recurring operations activities, including recruiting templates, checklists, process documentation, data updates, scheduled communications and ad hoc reporting.
•    Complete quality checks, meet established service levels, protect confidential information, and promptly escalate exceptions, discrepancies, candidate concerns or items requiring onshore judgment.

•    Strong organization and attention to detail, with the ability to manage multiple candidates, deadlines and handoffs at the same time.
•    Professional written and verbal communication skills, with a customer-service mindset and sound judgment when working with candidates and senior stakeholders.
•    Ability to follow detailed processes, use templates and checklists consistently, and identify when an issue should be escalated.
•    Comfort working with confidential candidate and business information in accordance with EY privacy, risk and information-security requirements.
•    Ability to collaborate across BA and US time zones, respond to shifting priorities and maintain dependable follow-through.
•    Commitment to data accuracy, quality review and continuous process improvement.
To qualify for the role, you must have
•    0-2 years of experience in recruiting coordination, human resources, shared services, operations, project coordination or a related discipline preferred.
•    Associate's or Bachelor's degree in a related discipline, or equivalent work experience.
•    Proficiency in Microsoft Office, including Outlook, Word, Excel and PowerPoint.
•    Fluency in English, verbal and written.
•    Ability to work with US-based colleagues during agreed business-hour overlap.
•    Experience handling sensitive information with discretion and accuracy.
Ideally, you'll also have
•    Experience working in professional services, executive recruiting or a large matrixed organization.
•    Experience with applicant tracking or recruiting systems, particularly Avature and SuccessFactors.
•    Experience coordinating complex interviews, onboarding activities or compliance-related workflows.
•    Experience working in a global delivery, shared-services or nearshore team environment.
