US Payroll Senior – Job Description

 

 

Position Summary:

 

The US Payroll Senior is responsible for supporting end-to-end US payroll operations for multiple clients and/or entities, ensuring payrolls are processed accurately, timely, and in compliance with all applicable federal, state, and local regulations. This role supports payroll processing, payroll tax compliance, reconciliations, client communication, issue resolution, and operational process improvement in a high-volume environment.

 

 

Key Responsibilities:

 

  • Process and review multi-state US payrolls in compliance with federal, state, and local payroll tax regulations
  • Support payroll system implementations, onboarding activities, payroll transitions, and data migrations
  • Review payroll data for accuracy including earnings, deductions, taxes, garnishments, benefits, and off-cycle adjustments
  • Perform payroll reconciliations including payroll balancing, tax balancing, deduction balancing, and quarter/year-end support
  • Assist with payroll tax compliance activities including agency notices, tax registrations, amendments, and payroll tax research
  • Prepare, review, and maintain payroll reports, audit documentation, and operational support files
  • Partner with internal teams such as HR, Treasury, Benefits, Mobility, and Employment Tax to support payroll operations
  • Serve as a primary point of contact for payroll questions, escalations, and issue resolution for internal and external stakeholders
  • Monitor payroll processing calendars and ensure all payroll deliverables are completed within established deadlines
  • Support process improvement initiatives, workflow standardization, and operational efficiency efforts
  • Coach and support junior payroll staff and assist with knowledge sharing and training activities
  • Maintain confidentiality and ensure compliance with company policies and regulatory requirements

 

 

Technical Skills and Qualifications:

 

  • 3–5+ years of US payroll experience with exposure to multi-state payroll processing
  • Strong understanding of US payroll tax regulations and payroll compliance requirements
  • Experience working with payroll systems and large ERP/payroll platforms
  • Advanced Microsoft Excel skills including pivot tables, lookup formulas, reconciliations, and large data set analysis
  • Strong analytical, organizational, and problem-solving skills
  • Ability to manage multiple payrolls and competing deadlines in a fast-paced environment
  • Strong verbal and written communication skills with the ability to interact professionally with clients and internal stakeholders
  • Experience supporting payroll implementations or transitions preferred
  • CPP certification or payroll-related certification preferred but not required
  • Prior experience in payroll tax, accounting, or finance is beneficial

 

 

Preferred Experience:

 

  • Experience supporting high-volume US payroll operations
  • Experience with payroll reporting, quarter/year-end processing, and payroll tax filings
  • Experience working in a client service or shared services environment preferred
