US Payroll Staff – Job Description
Position Summary:
The US Payroll Staff role supports day-to-day payroll processing activities for US payroll operations. This position assists with payroll input, validations, reporting, reconciliations, employee support, and administrative payroll functions while ensuring accuracy, timeliness, and compliance with payroll procedures and regulations.
Key Responsibilities:
- Support processing activities for multi-state US payrolls
- Review payroll input files for accuracy and completeness including hires, terminations, compensation changes, deductions, and tax updates
- Assist with payroll validations, audits, and payroll reconciliation activities
- Support payroll reporting and preparation of payroll-related documentation
- Assist with employee payroll inquiries and basic payroll issue resolution
- Maintain payroll records and ensure payroll data integrity and confidentiality
- Support payroll calendar deadlines and operational deliverables
- Assist with quarter-end and year-end payroll activities as assigned
- Coordinate with internal teams such as HR, Benefits, and Payroll Tax to support payroll processing activities
- Escalate payroll discrepancies or compliance concerns appropriately
- Support process documentation and standard operating procedures
Technical Skills and Qualifications:
- 1–3+ years of payroll, accounting, HR, or related administrative experience preferred
- Basic understanding of US payroll processing and payroll tax concepts preferred
- Strong attention to detail and organizational skills
- Intermediate Microsoft Excel skills preferred
- Ability to manage multiple assignments and meet deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Ability to work independently and collaboratively within a team environment
- Willingness to learn payroll systems, processes, and compliance requirements
Preferred Experience:
- Exposure to multi-state US payroll processing preferred
- Experience working with payroll or HRIS systems preferred
- Experience in a shared services or client support environment is a plus
