Senior Associate - IFM
Senior Facilities Executive, monitor facility operations in a site (office)/facility, at GDS India center. The Senior Facilities Executive keeps track of the facilities, equipment and Service provider teams. Daily duties of a Senior facility Executive entail managing on the ground transactions, dealing with details, all of which affect maintenance of the physical premises and the security of people performing business activities.
Your key responsibilities
- Initiate / coordinate vendor engagement & contract execution, in compliance with EY’s processes. Ensure timely renewal of Business Relationship Evaluation of the suppliers, for independence and compliances. Track and report vendor performance metrics based on the signed contracts/KPIs.
- Resolve customer escalations and disputes efficiently, with tact and diplomacy. Monitor service tickets and employee/customer satisfaction.
- Participate in the implementation of approved policies and procedures, monitor work activities to ensure compliance with established policies and procedures
- Organize, implement and direct facility maintenance operations and activities. conduct regular inspection in all facilities areas within campus, to ensure safe occupancy and business continuity.
- Ensures all EYGDS facilities are organized, clean, and inviting.
- Maintain facility and records to ensure compliance with company standards and local regulatory norms.
- Participate in the preparation and administration of the facility maintenance budget. Track & optimise operational and Capital spend for the designated facility / office, ensuring the spend does not exceed approved budget.
- Coordinate training of the facility management staff on SOP, safety methods, procedures, and techniques.
- Monitor and control supplies and equipment, order supplies and tools as necessary
- Inspect works performed by service work contractors for UPS, HVAC, plumbing, electrical, elevator and other service contacts.
- Perform the more technical and complex tasks of the work unit. Coordinate renovation/ repair & maintenance and other special projects.
- Attend and contribute to all mandatory staff meetings, workshops, and retreats.
- Establish and maintain effective working relationships during all interactions with team/ cross functions and Service provider staff on site
Skills and attributes for success
- Should consistently demonstrate Organization, time management skills
- Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management
- Knowledge of operations, services and activities of a building maintenance and repair such as finished carpentry, plumbing, heating, electrical, mechanical, and painting work
- Must be a well-organized, detail and customer (internal and external) oriented self-starter
- Excellence customer relationship management skills
- Good communication skills - communicate clearly and concisely, both orally and in writing
- Should possess strong analytical and problem-solving skills. Should pay attention to detail
- Should have a good knowledge of MS Office package.
To qualify for the role, you must have
- 4-6 years of subject matter expert experience, with minimum 2 years’ experience in coordinating with 3rd party IFM service providers in comparable organizations, with sound knowledge & experience, in workplace services domain.
- Bachelor's degree in Business, or equivalent professional level experience
