Job Title: Billing Specialist
Position Summary:
As a Senior Billing Specialist, you’ll manage the Maintenance of our third party (client) portals along with accurate and timely billing process for our most complex portfolio of external clients, significantly impacting our revenue collection. You will need to collaborate with Billing Specialists, AR Coordinators, Infosys Markets Finance Support and Procurement. You will need to setup and manage various external Portals as an Administrator as well as consult with our client servers to understand complex services and billing arrangements. You’ll have the opportunity to gain in depth EY finance knowledge, and recognition as a valuable Finance team resource.
Essential Functions of the Job:
Managing Client Portals
- Take ownership of the list of Portals currently managed by onshore as well as offshore resources
- Manages existing and sets up new client portals for EY US use, adds new clients to an existing portal and banking information
- May need to work with Procurement re: contracts with some vendors, especially if there is a fee involved. Some of the larger portals also have access related Fees that EY needs to pay, this role entails discussing the Financial allocations of the fees and having those charges to the respective accounts/engagements as applicable
- May need to work with others in finance to assign a cost based on transaction value and usage and process the fee to the appropriate engagement. This is in allocation of the Portal fees between the accounts/engagements
- Assigns roles and ID access to appropriate users and reviews access list to ensure inactive employees are removed
- Provides any necessary training and instructions on tool usage to users
- Recommends best approach for adding hours & billing rates depending on tool being used
- Example: For Legal Tracker, if the client is set up with LEDES, this role would entail updating the rank/professional based rate cards to enable submission of our invoices by GDS-Infosys or Client Serving teams based on the rate card.
- Advises engagement teams on setting up their Budgets and Accruals
- Some Client portals require submission of Accruals / Budgets for the invoices not yet submitted in the portal
- This role entails making sure that this need is understood and properly directed to the related Client Serving Teams.
- Teams with GDS-Infosys support staff to follow up on any rejected documents requiring action
- Proactively communicates outages, passwords resets, discontinuing client sites, etc. to key stakeholders
- Escalates issues to others in finance or engagement team and collaborates to resolve
- Share running weekly reports of all activities performed by you on the client AP Portals with the US Markets Finance Strategic Initiative Lead and the US AR Coordinator Lead
- Managing Billing for Complex Portfolio of clients

- Tracks and monitors billing agreements as outlined in statement of work (SOW), promptly highlighting approaching fee caps and inconsistencies in agreed upon billing targets
- Collaborates with Engagement Manager to research and resolve any disputes or discrepancies in billed amounts
- Performs unbilled and billed reconciliations on highly complex and global accounts
- Researches billing issues for clients and resolves all discrepancies
- Follows up on aged accounts receivable items as agreed and tracks status of collection
- Understands customer payment processes to develop strategies to effect prompt payment from customers. Uncovers and takes appropriate action to resolve any issues preventing customers from making prompt payment
- Assists with special projects as requested
Analytical/Decision Making Responsibilities:
Strong analytical and decision-making skills are essential for this role. Common areas where these skills can be applied are:
- Analyse the spectrum of available Client Portals and how they can be managed effectively
- Analysing Inventory of assigned complex clients/engagements to effectively reduce the Revenue Days
- Continuously collaborate with engagement teams with a view to understand and effectively analyse the Billed and Unbilled Inventory
- Identify opportunities to reduce risk and introduce continuous process improvements to make the processes more robust
Knowledge and Skills Requirements:
- Fluent in English – written and verbal
- Able to work in a self-sufficient manner, operating across multiple projects and priorities
- Ability to coach/mentor to more junior/less experienced billing/AR team members
- Focuses on solutions that drive continuous improvement of account performance
- Demonstrates the ability to challenge assumptions and decisions in an appropriate manner
- Effective teaming abilities including effective virtual teaming
- Effective multitasking and prioritization skills
- Strong proficiency with Microsoft Office, Excel and Word programs as well as the ability to learn new applications quickly
- Effective organizational, delegation and time management skills
- Strong attention to detail and accuracy
- Ability to demonstrate self-motivation and ownership of assigned work
Supervision Responsibilities:
- As the team expands, this role would also entail managing a small group of Associates and Senior Associates supporting this role
Job Requirements:
Education:
- Master’s degree in Finance is required to perform this position, professional certification is recommended.
Experience:
- A minimum of 7 years of experience in professional services billing or related function is required to perform this position
