The opportunity
Join our Core Business Services (CBS) team and you will help support the important business enablement functions that keep our organization running strong. As a CBS professional, you will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY’s growth and profitability.
Join our team as a Facilities Coordinator and take on a pivotal role in managing our company's facilities and administrative operations. As part of our dynamic team, you'll be responsible for maintaining top-notch facilities that directly support our company.
Your key responsibilities
As a Facilities Coordinator, you will play a crucial role in ensuring the smooth operation of our facilities. Your key responsibilities will include:
- Coordinating and overseeing all aspects of facilities services team, including Maintenance, Security, Cleaning, Service Level Agreements, Consumables, activities of the administrative and cleaning personnel
- Ensure compliance with health and safety regulations and company policies.
- Negotiate and recommend execution of contracts for purchase of supplies, provisions, services and equipment
- Maintaining meticulous records of past maintenance operations to track and analyze facility performance.
- Building and nurturing relationships with external vendors and contractors, including cleaning services, security personnel, maintenance technicians, and equipment suppliers, to ensure high-quality services and cost-effective deals.
- Conducting audits across all company premises all over Greece, to uphold safety, cleanliness, and operational standards.
- Collaborating effectively with cross-functional teams to ensure seamless facility operations and achieve optimal results.
- Assist in the preparation and management of the facilities budget, monitor expenses and identify cost-saving opportunities
Skills and attributes for success
What we look for
- Strong academic background with a bachelor’s degree from a top tier university
- Significant work experience in a fast-paced environment in facility management or leading a team
- In depth knowledge of systems, tools and procedures for office maintenance, office & facility management
- Highly skilled in using the MS Office packages (Outlook, Excel, Word, and PowerPoint)
- Strong written and verbal skills both in Greek and English
- Deep understanding and knowledge of purchasing practices and procedures.
- Significant team management skills
- A passion to provide high quality service to the stakeholders
- Proactive mindset, actively seeking ways to improve the office environment and promote recycling and other environmentally friendly processes.
- Strong negotiation skills with the ability to recommend and execute contracts for the purchase of supplies, provisions, services, and equipment.
- A collaborative approach to contribute to initiatives aimed at strengthening facilities management.
- Ability to handle multiple executives, priorities and deadlines
