Business Support Centre Executive Assistant
The opportunity
As our Business Support Centre Executive Assistant you’ll be required to work in a team environment providing high quality, consistent and efficient administrative support in line with a set scope of services. These services will be delivered in a proactive and collaborative manner, across multiple geographies and service lines in a local and virtual environment. This role is offered on a flexible full-time basis, initially as a 12-month fixed term contract.
This is a hybrid position based in either Naarm (Melbourne) or Warrang (Sydney). While our roles offer flexible work arrangements, there is an inherent requirement for regular in-person attendance at the office. Your key responsibilities
- Prepare and manage expense claims for Senior Managers and Directors using the in-house processing system, ensuring compliance with the firm's policy meeting Accounts Payable deadlines.
- Coordinate and respond to emails in EY's Security shared mailbox, support baseline security applications.
- Schedule and organize internal and external meetings, manage logistics, arrange travel bookings in accordance with firm policies, prepare itineraries, and track travel costs.
- Organize client events following firm guidelines, manage catering and AV needs, coordinate group travel and accommodation, and secure venues using internal contacts.
- Conduct client/industry research, manage client database entries, provide technical coaching for new team members, process vendor payment requests, and engage in personal performance development while supporting team projects and tasks as needed.
Skills and attributes for success
- Proficiency in MS Office applications. Some experience in delivering technical training or coaching is preferred. Quality-focused with attention to detail, and able to interact effectively with senior management while meeting performance criteria.
- Strong prioritization, organizational, and time management skills, along with well-developed problem-solving abilities and proficiency in database systems. Proven customer service focus, and the ability to work collaboratively in a team are essential.
- Must be comfortable working virtually and independently, responding well to deadlines, and adapting to a rapidly changing environment.
Ideally, you’ll also have the skills and attributes below but don’t worry if you don’t tick all the boxes. We’re interested in your aptitude, attitude and willingness to learn.
- A minimum of 2 to 3 years of work experience is required, with at least 2 years preferred in a team environment providing secretarial services
- Candidates must be located in Sydney or Melbourne and be Australian citizens with the ability to obtain NV1 Defence Security Clearance.
